Profit on paper and cash in the bank are different things. This calculator tracks the actual movement of money through your business over a period β€” what comes in, what goes out, and whether the balance stays above water.

How to use this calculator

  • Enter your starting cash balance.
  • Add the cash you expect to receive: sales, payments from customers, other income.
  • Add the cash going out: rent, wages, stock, tax, loan payments.
  • Press calculate to see the net cash flow and the closing balance.

The shortfall warning sign

A negative month is not automatically a crisis β€” but two or three in a row, with the balance trending down, is the classic path to a cash crisis in otherwise profitable businesses. The fix usually starts with payment terms: invoice promptly, chase late payers, and negotiate supplier terms.

Frequently asked questions

How is cash flow different from profit?
Profit counts sales when they are earned; cash flow counts money when it actually moves. A profitable business can still run out of cash if customers pay late.
What is a good cash buffer?
Many small businesses aim for one to two months of running costs in reserve, more if income is seasonal or concentrated in a few customers.
Can I use this for personal cash flow?
Yes. Treat salary as cash in and living costs as cash out; the closing balance shows whether the month works.
